Photography policy statement

Background

The Scottish Model Engineering Trust (SMET) recognises that our events and activities lend themselves to photography for capturing the enjoyment of our hobbies, but also that we have a duty to ensure the welfare and protection of all members and visitors, particularly children and those at risk. We encourage photography on our site and at our events to showcase the work we do and as such, have developed this policy statement to ensure that such photography should always be done in a way which safeguards participants, respects privacy, and complies with the relevant data protection legislation.

Scope

This policy statement applies to all staff and volunteers associated with SMET at our Wester Pickston site, our annual Model Train exhibition, or at any other event organised by SMET.

The policy does not apply to the use of images that have been taken for appropriate and purely personal purposes that are not shared or published in any format, which includes online publication via social media, except where access to images is restricted to the family and close friends of those featured in the photograph.

Policy statements

  • The photographer must ensure that any images are appropriate in the context of the activities at which they are taken.
  • No image will be used in a way that could place the subjects of the photo at risk of harm.
  • Any image taken that includes Personally Identifiable Information (PII) will be deleted.
  • Images must not be edited in such a way as to cause embarrassment or distress to the subjects or edited in such a way that the final image would be deemed inappropriate.
  • Photography must be conducted without disrupting SMET staff, visitors, or other operations.
  • Written consent from SMET is required before any images can be used commercially.
  • SMET may publish photos taken at our public events for publicity purposes, including on our web-site or posters.
  • If an image has a focus subject, written consent from the focus subject will be obtained before it can be published.
  • A subject in an image may request that the image be deleted.

Concerns

If you have any concerns regarding photography at our events, or would like to request a photograph of you, or someone under your care, be deleted, please get in touch - publicity@smet.org.uk. Questions regarding this policy statement should also be directed to that e-mail address.

Definitions

  • Focus subject: a person or family who is a primary subject of a photograph.
  • Subject: a person who is visible in a photograph (including in the background).
  • PII: Information that might be used to locate a person - e.g. an identity card or personal paperwork.
  • Photography and Images: in this context, these terms are interchangeable with videography and videos. We use photography and image in this document for brevity.
